We surveyed over 250 HGV Fleet Managers in the UK and Ireland, to find out how vehicle walkaround checks are carried out. The results are surprising given the digitally connected age in which we now live and work.
50.8% of respondents told us their organization still uses a paper and pen system for vehicle walkaround checks. 38.6% said they use an app and 10.6% voted ‘other’.
With so much at stake, why are so many fleets still relying on outdated, inefficient, and unreliable pen and paper systems? Could it be a case of the old saying ‘if it ain’t broke, don’t fix it’?
But what if it is broken?
Pen and paper vehicle walkaround checks can be falsified, papers regularly go missing and need someone to file them. You need a robust mechanism in place for reporting and rectifying defects. What happens when a driver doesn’t start from the depot, the fleet manager is working from home or sheets get lost?
There are many potential pitfalls to using a pen and paper system. And that’s before we even consider social distancing and COVID-19 compliance. This alone is reason enough to ditch the pen and paper.
When enforcement officials pull a vehicle over, they’ll want evidence of an adequate HGV walkaround check. 15 minutes on the tacho before the vehicle leaves the depot and a hastily filled in sheet of paper won’t cut the mustard. When there’s an incident or accident, properly documented evidence of walkaround checks is crucial.
Using a digital vehicle checking process has many advantages and saves you time and hassle. It’s simple when using an app to set up processes to ensure that any reported issues are quickly resolved.
You can make sure jobs are automatically added to a technician’s list and fleet managers and drivers notified. This saves any time lag waiting for phone calls, papers being passed around and avoids issues falling through the cracks. It also means you have a complete record of work done.
As a fleet operator, you need 100% driver compliance on vehicle walkaround checks, not the worrying under 30% our recent survey suggests.
